Your records, your working day and the care of your data. ## Getting to know Ombra ### Is Ombra for me? Yes, if you are a psychologist, psychotherapist, therapist or coach, working on your own or with colleagues in a practice. Ombra is your EPR (electronic patient record) and practice software in one. Your records are yours alone, even if you work at several practices. Each session shows which practice it takes place at, and which room if you like. An EPR, or electronic patient record, is your client’s digital record: where you keep their sessions, notes and documents. Ombra brings your EPR together with your calendar, online booking, your waiting list and your groups. [More about client records](https://ombracare.com/en/client-records/) ### Does Ombra work on my phone too? Yes. Ombra works in the browser, on your computer and on your phone, with the same records. Reading up between appointments or writing your note after a session goes just as smoothly on your phone. An app is coming soon to the App Store and Google Play. ### What does Ombra cost? We’ll announce our prices later. Follow our launch and you’ll be the first to hear them. ### Is Ombra available yet? Not yet. Your client’s details, reason for seeking help and goals, every session with its notes and keywords, documents and payments. A timeline and a frequency chart show the course over time. You add earlier sessions with their date, practice, keywords and a short note, or paste a list of dates in one go. A PDF from your old record goes with the session it belongs to. You track for each session what is paid and what is still open. For your accounts you download an overview that opens in Excel. Your client books on your own booking page, which you can also put on your website: inside the page, as a floating button or behind a link. For each appointment type you choose the length, the place and the times. Your client only sees free moments and reschedules or cancels on their own with the link in the confirmation, within your rules. Ombra reads your Google or Outlook calendar and shows those appointments in your calendar in Ombra. If you invite one client, that appointment becomes a session in their record. People who book online with you only see free slots, never what’s in your calendar. Ombra writes nothing to your Google or Outlook calendar. Connect Gmail or Outlook to read and answer your clients’ emails from your own address, in the right record. Emails still awaiting your reply are listed separately. Confirmations of bookings, intake requests and sign-ups then go out from that address too. ### Can I make my own intake form? Yes. Besides name, email, phone and reason for seeking help, you add your own questions, with your own title and welcome text. You share the link or put the form on your website. Anyone who signs up then chooses the reserve list or a next series; you can also make a full series impossible to choose. The reserve list follows the order of arrival: if someone withdraws, the first in line moves up by itself. [More about groups](https://ombracare.com/en/groups/#reservelijst) ## Privacy and the Belgian Quality Act ### What about privacy and retention? Your records are stored in the EU, backups included. They are yours alone: no colleague can access them, not even in the same practice. You share intake requests and groups only with the people you invite. You sign in with a password or passkey, with a one-time code we email you or with your Microsoft or Google account, and an authenticator app adds an extra lock. Every opened record is logged. As long as your account is active, records are kept for at least 30 years after the last contact. If you close your account, Ombra wipes your workspace after 30 days and the backups shortly after: take everything with you in a ZIP first. No. Software helps you record and keep information in a structured way. You remain responsible for the content of your record and for your professional conduct.
